FISHKILL PLAINS PTA FUNCTIONS AND EVENTS: Chairperson's NOTES

Information that ALL Chairpeople should be aware of:
Things to line up ahead of time:
For a winter event,  Plan a SNOW DATE on the original memo so people will know ahead of time.
Verify the original and Snow Date  with the office secretary and custodians.
Figure out how many volunteers you will need...
Vice President in charge of Committees should have a list of volunteers for each event – call or e-mail to see who can make it on your dates.
Change for the cash boxes/registers…Let the Treasurer know how much you think you will need, depending on the costs at your event:   Ex.
  $20 - 2 rolls of quarters
  $30 - 30  1dollarbills
  $50 - 10  5dollarbills
Make up a flier(s) to send home and have Mrs. Epstein and PTA president approve it.  Send it out on the e-mail distribution list a week or so ahead of time, then send a quick reminder the night before.  Post the flier around the school and on the PTA information center.
Make sure the custodian of the evening knows how you want to sets up the tables
Have Mrs. Epstein publicize the Event on the morning/afternoon announcements.
Have someone be in charge of bringing/organizing:
  Coffee, cups, napkins
  Girl+Boy Scout / PTA membership / Any extras  table… might need some change $ for this table too
  Music (?)
  Table cloths

Setup:  Allow time for setup with a few volunteers.

Cleanup:   Allow time for cleanup with a few volunteers.

D.A.R.E. GRADUATION:

ELECTION DAY BAKE SALES:
To run the bake sales
Try to have them on Tuesdays, Wednesday's and Thursday"s
Make sure that you have around 600 pieces of baked goods to cover all grades.
Bring napkins, vinyl gloves for handling, forks & plates if you are selling pcs. of cake.
cash box to have a $20 bank
2 - 3 adults for working the bake sale
You should have a peanut free section, ask the parents of the allergy
children to bake those goods  so no mistakes are made!!
 

FAMILY FUN NIGHT:
Volunteers will be asked to help plan and coordinate the different activities (dessert night, bingo, etc.), and the refreshments.  Usually held on Friday evenings.  Www.ptotoday.com has some great new ideas.  There are notes from past Bingo night to help!

Volunteers will be asked to coordinate the Fall and/or Spring fundraiser.  We hold various other fundraisers throughout the year and we are always open to hear of new ones that you may want to run.  Read the notes available from prior years for more ideas.

HERITAGE DAY:
 

HOLIDAY SHOP:
A fun filled shopping experience held in early December.  A variety of low priced items are set up and displayed for young shoppers to buy for their holiday gift-giving list. The chairperson purchases all the items and sets up shop in the All Purpose Room (Cafeteria).  There are notes available from prior year's experiences.

There is a website for this: http://www.nfp.org/.  There is a flier from 2007(Flor).... Mon: Wear Red to School  Tues: Put a Cap on Drugs Day (hat day)  Wed: Sock It to Drugs Day (crazy socks)  Thurs: Team up Against Drugs Day (sports team shirts),   Fri: Drugs Give You the Blues Day (wear blue).

ROOM PARENT COORDINATOR:  See Debbie Martin for more info.  Set up a  1 hour  'tea' early in the year to get the roomparents together.
 

SCHOOL GARDENS:  See also BAKE SALES
School Gardens include:
entry way, brick memorial & 911 memorial, school sign area
In the spring, weeding, plant flowers in all these areas.
New mulch every year entry way (approx 15 bags)
Try to come and water the flowers as much as possible, even during the
summer months.
